Important Camp Information

Preparing your Child

Talk to your child about what to expect during camp.  Encourage them to be ready to play outside, learn about nature, get a little dirty, and make new friends.  They will be sure to have fun if they are open to trying new things. View a list of things to pack for Full Day Campers , Half Day Campers, and Overnight CampersPacking lists and other required paperwork for Forest2Sound overnight campers is slightly different, and must be completed manually.  Click to print the Forest2Sound Information Packet.

Arrival and Departure

Drop-off and pick-up times differ depending on the camp you are registered for.  When you arrive, please park in our parking lot and follow the signs towards the day camp registration.  Both pick-up and drop off are located in the same place except on the last day of camp for Family Sharing Time.  See below.

 

Drop-off/registration for Day Camp and AM Half Day Camp is at 9:00 am

Drop-off/registration for PM Half Day Camp is at 1:00 pm

Drop-off/registration for Sleep-Away Camp is at 3:00 pm on the Sunday of the camp week

 

Pick-up for AM Half Day Camp is at 12:00 pm

Pick-up for PM Half Day Camp and Day Camp is at 4:00 pm

Pick-up for Sleep-Away Camp is at 4:00 pm on the last day of the camp

 

On the last day of every camp, please plan to arrive 30 minutes (for ½ and full day camps) or 45 minutes (for sleep-away camps) before your regular pick up time to attend Family Sharing Time which is held during the last 30 minutes of camp.  Check-out will take place at family sharing time.  Please follow the signs directing you to the location of the family sharing time.

 

If your child will be absent or late any day, please call our office to let us know.  We account for campers at all times and would very much appreciate knowing of any schedule changes.  Please call the Registrar at 206.855.4305.

 

Please Bring Your Photo ID each day.  To ensure the safety of your child, you will need to show a photo ID for pick-up each day.

 

If another adult will be picking up your child, please provide a signed note by a parent or legal guardian stating the date, adult’s name, the camper’s name, and your signature. All notes must be given to the summer programs coordinator or the registrars by a parent or legal guardian.

 

We check IDs each day to ensure your camper’s safety. If you do not have your ID, you will be asked to retrieve it before picking up your child.

 

If you would prefer that we not check your ID after the first day, you may sign a waiver indicating that you would prefer that we not check ID for persons picking up your child during the week. You must provide a photo ID in order to sign the waiver.

 

Lunch/Snacks

Pack a full bottle of water for each day of the program.  For Day campers please also include a nutritional lunch.  IslandWood will provide snacks for Half Day and Day campers each day of camp.  Sleep-Away campers should not bring any food or drinks to camp – all meals and snacks will be provided by IslandWood for overnight camps.

 

Campers will be outdoors all day and will eat their snack/lunch picnic style in the woods. Your child is welcome to pack an additional snack to eat at snack time. Please do not send candy, chewing gum, or soda for your child’s lunch or snack.

 

Gift Shop

The IslandWood gift shop will be open on the last day of programming during Family Sharing Time.  We ask that parents supervise their children making gift shop purchases. Please do not send money with your child. IslandWood cannot be held responsible for lost or stolen money.

 

Lost and Found Items

Found items will be held at the check-in/check-out tables until the end of the camp week. Then these items will be moved to a storage box at the registrar’s desk for up to one week after the end of the camp week. At this point, found items are donated. Please contact the registrar, Joan Hutchinson, at 206-855-4305, regarding lost items.

 

Camp Expectations

At IslandWood, we want all campers to have the opportunity to learn, to be safe, and to enjoy their camp experience.  With this goal in mind, our instructors have specific student behavioral expectations.

 

Camp Rules:

  1. Respect yourself.
  2. Respect others, including the instructors and other campers.
  3. Respect the environment.
  4. Have fun!

 

During camp, our instructors will let the students know our expectations for their behavior and the consequences for misbehavior.  Initially we use a warning, followed by a sit-out from the activity and discussion with the instructor, and then, if another incident occurs, the child is sent to the camp office.   The field instructor or coordinator will speak with the child’s family at the end of the field day to discuss the behavior and possible solutions.

 

In an extreme case, such as violence towards another individual, severe damage, or repeated unsafe behavior we will send a child home.  We do this as a last resort! Our goal is to have every child complete the week at IslandWood.

 

Your registration and attendance at IslandWood summer camp demonstrates your agreement to these behavioral and discipline guidelines.

 

Illness

Children not well enough to follow the day’s activities must not attend camp. This includes children will the following symptoms:

v    Fever

v    Sore Throat

v    Active Rash

v    Discharging Eyes

v    Nausea

v    Vomiting

v    Diarrhea

v    Stomach Pain

v    Early Cold

v    Cough

 

While attending camp, if a child displays symptoms of illness and/or fever, the child is isolated from other campers and kept comfortable while the responsible adult is notified to come and pick up the child. If they cannot be reached, emergency contacts are called.

 

Contagious Disease

Adults should inform the Summer Programs Coordinator immediately if a child contracts a contagious disease or is exposed to one. This includes, but is not limited to: chicken pox, conjunctivitis, mumps, measles, viral infections, and lice. Children being treated with antibiotics for a contagious disease may not return to our facility until s/he has been using the medication for a 24 to 48 hour period and/or until the danger of infecting others is over.

 

Refund and Cancellation Policy

We do not pro-rate tuition for illness, absence, or behavioral suspensions the week your camp session occurs. Children enrolled in summer camp are reserving time, space, supplies and staff whether or not the child actually attends. 

Cancellation at least 30 days prior to program: full refund minus processing fee of $40 per canceled camp.

 Cancellation 2 weeks prior to program: 50% refund of all fees.

Cancellation less than 2 weeks prior to or non-completion of camp: no refund.

 

Parent/Child Telephone Use

We do not allow participants to use the phones.  This is due to the number of participants we have at IslandWood and because we are out in the field or in activities the majority of the time.  Use of a phone is limited to emergencies only and the participant must be accompanied by an IslandWood staff member.

 

Administration of Medication

Washington State Law allows our personnel to administer over-the-counter medication only if we have a signed note from a parent or guardian (and a physician for prescription medications) indicating dosage, frequency, when a medication is indicated, and the route (e.g. oral, topical).  All medication must be in the original container, have the camper’s name, dosage, and be current.  If you child has an epi-pen and/or inhaler those may stay in their possession in a zippered pouch/pocket and would be used by them if needed, with IslandWood staff assisting when appropriate. 

A parent/legal guardian signature and a physician’s signature are required on IslandWood’s Allergy Action Plan form and Prescription Medication at IslandWood form to authorize staff to assist in the dispensing of prescription medication including epi-pens and inhalers.

 

Wheelchair Accessibility

We welcome and encourage people of all abilities to attend our classes.  The buildings at IslandWood are accessible to people with disabilities, although some of the gravel pathways may be difficult.  Many, but not all, of our field structures are accessible as well.  Please inform us of any special needs your child may have while camping at IslandWood.

 

Emergency Phone Instructions

IslandWood’s main number is 206.855.4300.  If calling for your child, any incoming emergency message will be delivered as soon as possible.

 

Insurance

Campers are responsible for their own health insurance.

Forms

In order to save on paper and trees we have moved to online forms and registration.  Thank you in advance for your patience and understanding as we make this transition. Please be sure to complete and return all forms at least 2 weeks before the start date of your camp. 

Log in to complete these forms online using the user name and password provided in the camp confirmation email that was sent to you.  If your record is missing any required information the "Forms" tab will not be available until those fields have been completed.  This step may take a few extra minutes if you registered over the phone.  Please review your information, make any required updates, and once all required fields are complete, proceed to the "Forms" tab to access the following forms:

IslandWood Release Form (required for all campers)

Over the Counter Medication Form (if applicable)

Prescription Medication Form (if applicable; requires health provider's signature)

Food Allergy Action Plan (if applicable; requires health provider's signature)
